TERMS & CONDITIONS
Trail Magic Adventures Terms & Conditions
Program Preparation
Although most of our hiking programs are suitable for reasonably fit first-time adventurers, our programs are active and immersed in the outdoor setting. It is your responsibility to understand the activity level of your program and to be physically capable of participation. We are relying on you to provide accurate health information on our medical form so that we may best support you throughout the hike.
All participants are required to read and complete a Participant Medical Form and our Liability Waiver no later than four days before their program start date. Completing these forms as soon as possible will help our team plan for any dietary requirements and other personal requests. If you have a health condition that might impact your ability to safely participate, we encourage you to check with your physician before you book your adventure.
If you have any food allergies or dietary restrictions, we will do our best to accommodate your needs. Some specific diets can only be met if we charge a supplemental menu fee to cover our increased costs. Pending a thorough discussion about a participant’s specific dietary requirements, the Trail Magic Adventures’ team may determine that a severely allergic person is not suitable for our program due to the limitations of preparing food for groups of people in a wilderness setting.
Your Responsibilities
By participating in a Trail Magic Adventures program, you assume certain obligations to Trail Magic Adventures and the other program participants. You are responsible for selecting a trip that is appropriate to your abilities and for being physically and mentally prepared for what it entails. You are to bring appropriate gear and clothing as advised by Trail Magic Adventures and take care of the equipment that is lent to you for the duration of the program. Participants are to be considerate of other participants and their habits and be respectful of the environment they are travelling and camping in.
Personal Electronics
In an effort to eliminate distractions among the group and to promote engagement in all activities, the use of personal electronic devices is discouraged while on program. Taking photos of the landscape and other participants (with permission) is acceptable, and we do understand if work duties call for a check-in. However, those spending extra time absorbed on the screen will be kindly redirected to other activities. Trail Magic Adventures is not responsible for any electronic devices (or any other personal belongings) that are lost, damaged, or stolen while on program.
In the event of an emergency, participants are asked to not take photos or make outside calls unless directed to do so. Along with satellite GPS messengers, radios, and an extensive backcountry first aid kit, our certified Wilderness First Responder guides have a list of medical protocols and evacuation procedures to keep the group safe. Having participants place outside calls may slow or complicate the situation, and potentially escalate a minor scenario into something larger than it is. If appropriate, the emergency contacts of the participants will be notified by the Trail Magic Adventure team and evacuation procedures will take place.
Internet Postings
Trail Magic Adventures encourages participants to share their experiences that they had with us on program. At the same time, we ask that participants and their families respect our company, and to not disparage Trail Magic Adventures in postings on the internet. Also, our website contains copyrighted materials that may not be published, posted, or copied without our written consent.
Program Itinerary Changes
Our intention is to follow the itinerary described in marketing materials and program details as closely as possible. Reasonable changes may be made where deemed advisable for the comfort and safety of our participants. All Trail Magic Adventures programs are subject to itinerary changes based on a variety of circumstances, including, but not limited to, park or land closures, permit availability, trail conditions, wildfires, and wildlife. The price of a hiking trip will not change due to itinerary changes. Payments are not refundable for itinerary changes, alternate trips, and land closures. Prices and dates are subject to change without notice.
Transfer Policy
If 14 days or more out from your program start date, you may transfer from one trip to another with an additional $35 service charge per person. Transfers cannot be made if it is less than 14 days prior to the program start date. There can be no more than 2 transfers made for the same booking.
Cancellation Policy
Please understand that our program dates and capacities are limited by managing agencies and campsite size, so when we accept your booking, we may be turning others away from going on that trip. If you find it necessary to cancel your trip, please email us as soon as possible. If you cancel a program for any reason 14 days or more prior to the trip start date, we will grant you a full refund minus a $35 per person service fee. You may also request to transfer your program to another trip date if 14 days or more out from your start date. No refunds, cancellations, or transfers are possible within 14 days of your trip.
We regret that we cannot make exceptions for personal emergencies. There is no refund for arriving late or leaving a program early (including, but not limited to: voluntary withdrawal, dismissal for behavioral reasons, illness, injury, etc.). Trail Magic Adventures has the right to remove a participant at any time during the trip if we feel that the guest is physically or mentally incapable of participation, or if the guest continuing on the trip will jeopardize the safety of the individual or the group. Refunds are not available under such circumstances.
If We Cancel A Program
Trail Magic Adventures reserves the right to cancel all or a portion of a trip for force majeure or any other circumstances beyond our control. In the event of such a cancellation, full or partial refunds or trip credit will be issued. We also reserve the right to cancel any program if sign-up is inadequate to make the trip economically feasible for us to operate. If this is the case, we will give you a choice for a full refund or future trip credit. However, Trail Magic Adventures is not responsible for additional expenses incurred by preparing for the trip (for example: clothing, equipment, medical expenses, airline tickets, etc.).
